Declining a volunteer’s application is a normal and healthy part of the Taproot Plus experience. Whether you’ve reviewed an application and decided not to move forward, or met with a volunteer and realized it’s not the right fit—you’re encouraged to use the decline feature. It helps volunteers receive timely feedback and keeps your opportunity moving forward.
That said, how you decline an application matters. A thoughtful message can encourage volunteers to stay engaged and find the right fit elsewhere. A vague or harsh decline, on the other hand, can discourage future participation.
When to Use the Decline Feature
You’re welcome to decline a volunteer when:
You’ve met with the applicant and decided not to continue the engagement.
You’re moving forward with another candidate.
You’ve decided to not continue with pro bono support for that specific need.
We trust your judgment. You know what’s best for your organization.
What to Know Before You Decline
Your message matters: The reason for declining that you submit is shared directly with the volunteer.
Keep it kind and constructive: Decline messages are not the place to share programmatic concerns or issues. If you’ve experienced a problem, please contact our team at help@taprootplus.org.
Incomplete or rude declines can discourage volunteers from re-engaging with Taproot Plus—even when they might be a great fit elsewhere.
Tips for Writing a Thoughtful Decline
Be clear and appreciative: Thank the volunteer for their interest and time.
Keep it brief: A sentence or two is enough.
Focus on fit: Let them know you’re moving forward with someone whose experience more closely matches your needs.
Example:
"Thank you so much for your interest in supporting our project. We’ve decided to move forward with another volunteer whose experience is a closer match for our current needs. We truly appreciate your time and hope you’ll continue exploring opportunities on Taproot Plus."
